Contracts Administrator Lead
Chelmsford, MA • Sales
Job Type
Full-time
Description

Gustavo Preston Company keeps commercial buildings running by servicing the pumps, valves, and water systems in their mechanical rooms.  Our preventive maintenance (PM) contracts are how customers make sure that happens, and we're hiring a Contracts Lead to help drive that business.

You'll work across a portfolio of 900+ active PM contracts covering booster pumps, ejectors, elevator pit pumps, zone valves, HVAC, and our fast-growing Overwatch remote monitoring service. You'll price new work, win and expand customer accounts, review and execute contracts, and guide the Contracts Administrators who keep every renewal and service record on track.

This role fits someone who enjoys a mix of customer relationships, deal pricing, and training and guiding others, and who takes pride in getting the details right.

What You'll Do

  • Price new PM contracts, including quotes from site walkdowns, and grow existing accounts by adding sites and equipment.
  • Review and execute customer contracts and terms and conditions.
  • Train the Contracts Administrators, assign and prioritize their daily work, and serve as their go-to resource for questions.
  • Keep service item data accurate in Navision using daily and weekly replacement reports, and turn that data into new business.
  • Oversee contract renewals, adjusting labor, materials, and third-party site fees as needed.
  • Resolve customer questions and keep contracts current through ownership and management company changes.
  • Partner with Sales, field engineers, and Credit to set up new accounts and collect COI documentation.
Requirements
  • 3+ years of contract administration experience, ideally in a service, equipment, or maintenance business.
  • 2+ years of customer service or account management experience; quoting or sales experience is a plus.
  • Experience training others or serving in a lead or senior role is a plus.
  • High school diploma or equivalent required; associate's or bachelor's degree in business or a related field preferred.
  • Strong organization, attention to detail, and the ability to prioritize and coordinate team workload.
  • Experience with Navision (Microsoft Dynamics NAV) or a similar ERP system, plus Outlook, Word, and Excel.
  • Familiarity with pumps, valves, or building mechanical systems is a plus.
