Project Manager
Job Type
Full-time
Description

Description

The Project Manager leads the structured execution of approved initiatives within Lifeworks' project portfolio, managing each project from initiation through closure to deliver the approved scope, schedule, budget, and quality. Most initiatives are technology-enabled, including system implementations, business process improvements, and vendor-led projects, and they advance technology, operational, strategic, and cross-functional goals. Success is measured by the operational and organizational outcomes achieved, not by system go-live alone. Working within the organization's project portfolio governance and decision-making structure, the Project Manager partners with executive sponsors and functional leaders, who own project outcomes, and with the Information Technology team and vendors, who are often key to designing, delivering, and supporting solutions. The Project Manager also engages the staff and department leaders who are the primary users of project outcomes, and plans delivery around the limited time they have for testing, training, and adoption.

You’ll succeed in this role if you:

  • Have the ability to perform essential job functions with or without reasonable accommodation.
  • Are proficient in waterfall, agile, and hybrid methodologies, with the judgment to select and tailor the approach based on project complexity, requirements stability, risk, and the frequency of user feedback required.
  • Have demonstrated ability to manage multiple concurrent projects and competing priorities within a portfolio, working effectively within established governance structures and decision rights.
  • Have strong written, verbal, and facilitation skills, including the ability to communicate complex information to audiences ranging from executives to staff, and to build accountability across business, Information Technology, and vendor teams without direct authority.
  • Have strong analytical and problem-solving skills, including the ability to translate business needs into clear requirements, organize incomplete or competing information, identify required decisions, and recommend practical next steps.
  • Have working knowledge of organizational change management, data privacy, information security, and regulatory requirements; HIPAA experience preferred.
  • Must pass a DHS background study and drug test and maintain reliable transportation for work-related travel, if required.

How you’ll be spending your time:

  • Lead approved projects from initiation through closure. Assess each project and select or tailor a waterfall, agile, or hybrid approach. Work with executive sponsors and functional leaders to develop project charters and integrated plans that define scope, objectives, deliverables, schedule, budget, governance, roles, and success measures tied to operational and organizational outcomes. Plans include the staff time, skills, and capacity required from functional areas, the Information Technology team, and vendors.
  • Direct day-to-day execution across business, Information Technology, and vendor teams using the selected methodology, including milestone-based delivery or agile practices such as backlog refinement, sprint planning, stand-ups, reviews, and retrospectives. Coordinate with functional leaders and the Information Technology team to secure resources and schedule work around operational demands. Control scope, schedule, budget, and quality against approved baselines; evaluate change requests; manage risks, issues, and dependencies; and escalate variances and resource conflicts to the appropriate decisionmakers.
  • Identify key stakeholders and assess their impact and influence, and maintain engagement and communication suited to each group throughout the project. Recognize that the primary users of project outcomes are often staff and department leaders with limited time for meetings, testing, and training. Operate within project portfolio management (PPM) governance and established decision rights so that sponsors and functional leaders remain accountable for outcomes. Maintain awareness of cross-project priorities and dependencies, prepare materials for the PPM steering committee, and provide clear, timely status, budget, and risk reporting.
  •  Partner with the Information Technology team and vendors to deliver technology-enabled solutions, coordinating contracts, requirements, deliverable review, testing and user acceptance testing, readiness assessment, cutover planning, and go-live support. Ensure a smooth transition to business ownership and ongoing technical support.
  • Support adoption by assessing impacts on staff and coordinating communications and training designed to fit operational schedules. Gather user feedback; conduct project closure, lessons learned, and post-implementation reviews; and confirm that intended operational and organizational outcomes are being realized beyond go-live.
