Sales Coordinator
Description

About the Role

The Sales Coordinator is the operational backbone of the sales team at NEFCO. This role keeps sellers focused on selling by owning the follow-through behind the deal: developing and routing sales leads, producing customer reporting, preparing for quarterly business reviews (QBRs), keeping customer account and data records clean and linked, and administering customer terms such as freight exemptions and early payment discounts (EPDs). The Sales Coordinator also supports digital purchasing channels (eProcurement and EDI) as one part of a broader portfolio, working with Sales Enablement, Business Intelligence, Customer Service, Finance, Pricing, and IT.

This role is ideal for an organized, detail-oriented professional who is comfortable with data, enjoys being the go-to person for sellers, and can connect customer needs with internal resources to keep opportunities moving forward.

What You'll Do

Sales Lead Development & Pipeline Support

  • Research, qualify, and route inbound and outbound leads (web inquiries, quote requests, trade show contacts, new-account requests) to the right seller and territory.
  • Build prospect and target-account lists using CRM, ERP history, and market data; support seller campaigns, cross-sell and win-back outreach.
  • Monitor customer retention by tracking purchase frequency, spend trends, and order patterns against each account's history, and report on retention, attrition, and at-risk accounts.
  • Identify customers and jobsites that have gone silent (no orders, quotes, or contact within a set period) and prompt sellers to follow up, with account history and talking points; log outreach and outcomes in CRM.
  • Maintain lead-source tracking and report on lead volume, conversion, and response time.

Customer Reporting & Quarterly Business Review (QBR) Support

  • Build and distribute recurring customer and seller reports: sales and margin trends, product category and brand mix, fill rate and on-time delivery, spend vs. contract, rebate and program attainment.
  • Prepare QBR packages for key accounts: data pulls, slide decks, talking points, open-issue summaries, and year-over-year comparisons.
  • Schedule QBRs, collect pre-meeting input from sellers and internal teams, and track post-meeting action items to completion.
  • Work with Business Intelligence to improve report quality, automate recurring reports, and answer ad hoc data requests from sellers.

Account Linking & Customer Data Management

  • Maintain accurate customer master data in CRM and ERP: ship-to and bill-to relationships, parent/child hierarchies, buying groups, contacts, territory and seller assignments.
  • Link related accounts so spend, pricing, terms, and reporting roll up correctly to the parent customer.
  • Process new-account setup, account changes, and merges or deactivations in coordination with Finance, Customer Service, and Pricing.
  • Run periodic data-quality audits to find duplicates, orphaned accounts, missing fields, and outdated contacts, and correct them.
  • Document data standards and naming conventions and train sellers on them.

Terms Management

  • Administer customer-specific terms, including freight exemptions and free-freight thresholds, early payment discounts (EPDs), payment terms, and other program-based terms.
  • Verify that approved terms are set up correctly in ERP and applied at the account and linked-account level
  • Maintain a terms matrix or repository with effective dates, approvals, and expirations; run renewal and expiration reviews and alert sellers in advance.
  • Route terms requests and exceptions through the proper approval workflow and keep an audit trail.

Seller & Sales Administration

  • Serve as the first point of contact for seller questions on accounts, terms, reporting, and process.
  • Coordinate cross-functional requests among sellers, Pricing, Finance, Customer Service, Purchasing, Marketing, and IT; track issues to resolution.
  • Support contract, bid, and price-agreement administration, including tracking renewals and expiration dates.
  • Support seller onboarding, territory changes, sales meetings, and incentive or program tracking.
  • Document processes and maintain a library of sales job aids, templates, and FAQs.

Digital Channels (eProcurement & EDI)

  • Support sellers on eProcurement, punchout, and EDI opportunities through research, education, and coordination with platform partners and internal technical teams.
  • Track action items and timelines for active integrations, and report periodically on channel activity and adoption.

What You Bring

  • Strong organization, attention to detail, and follow-through, with the ability to manage multiple workstreams, deadlines, and stakeholders at once.
  • Clear written and verbal communication skills and confidence supporting sellers, customers, and cross-functional teams.
  • Comfort working with data: building reports, spotting trends and errors, and translating findings into concise business recommendations.
  • Advanced Excel skills (pivot tables, lookups, data cleanup) and comfort with PowerPoint for customer-facing materials.
  • A service mindset, sound judgment on when to escalate, and discretion with confidential customer and pricing information.
  • Curiosity about sales technology, including CRM, ERP, eProcurement, EDI, and punchout catalogs.
Requirements

Preferred Qualifications

  • Associate's or bachelor's degree in business or a related field, or equivalent experience.
  • 2+ years in sales coordination, sales operations, customer service, account management support, or a related role.
  • Working knowledge of a CRM (such as Salesforce or HubSpot), an ERP, and reporting or business intelligence tools (such as Power BI).
  • Exposure to B2B distribution, including customer hierarchies, contract pricing, and customer terms.
  • Experience supporting customer reviews or presentations.
  • Ability to learn technical concepts and collaborate effectively with Sales Enablement, Business Intelligence, and IT.

How Success Will Be Measured

  • Leads are logged, qualified, and routed to sellers within an agreed response time (for example, one business day), with source and status tracked in CRM.
  • Customer reports and QBR packages are accurate, delivered on schedule, and rated useful by sellers and sales leadership.
  • Customer master data is clean: low duplicate and orphan account counts, correct parent/child links, and complete required fields.
  • Terms (freight exemptions, EPDs, and others) are set up correctly in ERP, documented in the terms repository, and renewed before they expire, with few billing disputes traced to setup errors.
  • Sellers receive timely, accurate answers and support, and cross-functional requests have clear owners and documented follow-through.
  • Digital channel (eProcurement and EDI) activity is tracked and reported on a recurring basis.
