The Opportunity

As a Financial Project Manager, you'll own the money side of an assigned set of projects, from the first customer order through final closeout. You'll make sure orders are set up correctly, invoices and payment applications go out on time, and every dollar gets collected.

You'll be the financial point of contact for your projects, working side by side with project managers, sales reps, vendors, Accounting, and AR/Credit to catch discrepancies early and solve them before they slow down billing or cash flow. It's detail-heavy, deadline-driven work, and you'll be the person your projects count on to keep the numbers clean.

What You'll Do

Set It Up Right

  1. Own the Order: Work with the project management team to enter and maintain customer orders in QuickBooks and our CRM, with accurate details and complete supporting documentation.
  2. Know the Rules Up Front: Confirm customer AP contacts, tax status, PO amounts, payment terms, and tax-exemption paperwork, and collect any required documentation before the first invoice goes out.
  3. Set Up the Billing: Set up invoicing to fit each project, whether that's as-shipped, AIA format, or joint checks.
  4. Keep It Current: Enter change orders promptly and update the related project financials.

Bill It and Collect It

  1. Get Invoices Out: Prepare and submit invoices and payment applications to match each customer's requirements and project milestones, including AIA draw schedules and documentation when needed.
  2. Follow the Money: Proactively manage AR collections for your projects, working alongside AR and Credit on billing issues.
  3. Take the Payment: Process customer credit card and ACH final payments, scan checks into the bank, and forward supporting documentation to AR.
  4. Protect Our Payment Rights: Manage lien rights, including notices, waiver tracking, and meeting state deadlines.

Catch It and Close It

  1. Record It Right: Record material and freight receipts with correct job costing.
  2. Match the Costs: Review vendor bills for accuracy and coordinate internal approvals so they're processed on time.
  3. Solve the Mismatches: Work with project managers, sales reps, vendors, and Accounting to resolve discrepancies, and escalate anything stuck.
  4. Spot Problems Early: Flag billing delays and missing or inconsistent project costs before they become bigger issues.
  5. Close It Out: Support month-end activities and complete financial closeout on your projects.
  6. Make It Better: Keep clear follow-up records and suggest improvements to the way we work.

Keep the Office Running

  1. Answer the Phones: Answer operations phone calls.
  2. Stock the Office: Maintain office supplies.
  3. Mind the Building: Coordinate on site with the cleaning service and handle building-related issues.
  4. Run the Errands: Handle drop-offs and pickups at UPS, USPS, and other shipping services.

You'll Thrive Here If You

  1. Take pride in accuracy and double-check your work without being asked
  2. Can't leave a discrepancy alone until you've tracked down the cause
  3. Stay organized while juggling multiple projects and deadlines
  4. Are comfortable following up, politely and persistently, until an issue is resolved
  5. Like structure and clear procedures, and enjoy making them better
  6. Are comfortable speaking with customers and working across departments
  7. Don't mind pitching in on the day-to-day tasks that keep an office running
  8. Pick up new systems quickly and want to keep learning
