Position Summary

The facilities Coordinator supports the Facilities Manager in keeping our production kitchen, cold storage, warehouse, training classrooms, and administrative spaces operational, safe, and compliant. The core of this job is hands-on maintenance and repair. It also carries custodial materials, and safety responsibilities in a food-production facility where sanitation is a regulatory requirement.

Key Responsibilities

General Maintenance & Repair

Perform preventive maintenance on building systems and equipment per the established PM schedule, and keep that schedule current

  • Diagnoses and complete repairs across plumbing, electrical, carpentry, painting, drywall, doors, and hardware
  • Support upkeep of commercial kitchen equipment and refrigeration — monitor and log temperatures, change filters, clear drains and condensate lines, service hood and exhaust components, and escalate mechanical failures immediately
  • Troubleshoot problems to root cause rather than treating symptoms; document what failed and why
  • Respond to and close out work orders, logging labor, parts, and completion
  • Maintain grounds and exterior: snow and ice removal, dock upkeep, lighting, and waste-area condition

Custodial & Sanitation

  • Perform daily custodial work across kitchen, restrooms, offices, classrooms, warehouse, and common areas
  • Execute deep-cleaning and floor-care schedules, including work between production shifts
  • Manage waste streams — trash, recycling and food waste

Materials & Supply Inventory Control

  • Maintenance materials, repair parts, filters, hardware, janitorial supplies, PPE, and tools — this role does not manage food inventory
  • Receive, verify, label, and stock deliveries; reconcile packing slips against orders and report discrepancies
  • Track consumption, and submit reorder requests before stock-outs interrupt work

Safety & Compliance

  • Conduct and document routine safety inspections — fire extinguishers, emergency exits, eyewash stations, lighting, spill response
  • Identify and correct or escalate hazards; support incident documentation and follow-up
  • Assist with readiness for health department, fire marshal, and insurance inspections
  • Model and reinforce safe practices around staff, CJT students, and the volunteers who work in our building daily

Coverage & Documentation

  • Serve as primary backup to the Facilities Manager during absences, covering essential daily functions independently
  • Build and maintain written procedures, vendor contact lists, equipment records, and PM checklists so facility operations do not depend on any single person's memory
Requirements

Required

  • 2–3 years of hands-on facilities maintenance or building operations experience (maintenance-focused, not custodial-only)
  • Demonstrated working competency in basic plumbing and basic electrical, plus at least one of: HVAC routine service, carpentry, or commercial equipment repair
  • Comfortable using hand and power tools, meters, and diagnostic equipment safely and correctly
  • Experience maintaining materials, parts, or supply inventory
  • Working knowledge of workplace safety practices, chemical handling, lockout/tagout, and SDS requirements
  • Able to read work orders, schematics or equipment manuals, follow written procedures, and keep accurate logs
  • Reliable, self-directed, and able to prioritize competing requests without daily supervision
  • Valid Indiana driver's license and an insurable driving record
  • Successful completion of a background check

Preferred

  • Experience in a commercial kitchen, food-production, warehouse, or healthcare facility
  • Commercial refrigeration or HVAC experience; EPA 608, or forklift certification
  • Familiarity with health department sanitation standards or ServSafe certification
  • Bilingual (English/Spanish)
  • Comfort working alongside volunteers and adult students in a training environment

 Physical Requirements & Work Environment

  • Frequently lift and carry up to 50 lbs; occasionally move heavier items with assistance or equipment
  • Stand, walk, bend, kneel, reach overhead, and climb ladders for extended periods across an 8-hour shift
  • Work in variable conditions: hot kitchen areas, refrigerated coolers and sub-zero freezers, wet floors, and outdoors year-round
  • Regular exposure to cleaning chemicals with appropriate PPE
  • Standard schedule is [Monday–Friday, X:XX am – X:XX pm]; occasional early, evening, weekend, or on-call response for facility emergencies and weather events
