Executive Assistant to the GM/COO
Job Type
Full-time
Description

 The Person at the Center

Every great club has someone at the center who makes things run, knows what the General Manager needs before the request comes in and makes sure the Board packet is complete and on time, and whose writing leaves members feeling informed and cared for. That is this role.

A true partner to the GM/COO. You'll manage a fast-moving calendar, handle correspondence with polish, keep the weekly leadership meeting on record, and track every commitment through to the finish. You'll sit in on meetings, merge the club's many calendars into one, and lend an administrative hand on renovations and special projects as they arise.

A steward of good governance. You'll build the Board and committee calendar, prepare agendas and packets, take minutes that stand as the official record, and maintain the Board Motion Book and policy manual. You'll support the Nominating Committee and welcome new Board members. When members vote, you'll run the process with our third-party platform, accurately, confidentially and with complete neutrality.

One of the club's most important voices. You will also have input into the weekly Communiqué, mobile-app notifications, the member website, letters of welcome and thanks. You will assist the COO in shaping the communications to our Board, Committees and management team, making sure each one is clear, timely and unmistakably Colleton River.

Requirements

 Who We're Looking For

You've supported a senior executive, ideally a GM, COO or CEO and a Board of Directors, and you're energized by being the person others count on. You write beautifully, you stay unflappable when priorities collide, and you understand that discretion isn't a policy; it's a character trait. Experience in a private club, HOA or POA setting will serve you well.

What you'll bring

• Three to five-plus years of executive-level administrative support, including work with a Board or governing body

• Excellent writing, editing and minute-taking skills

• Advanced Microsoft Office skills, plus comfort with member websites, mobile apps, e-blast tools and design software

• Associate's degree or equivalent experience (bachelor's preferred); Notary Public a plus

• Availability for occasional evening Board meetings, elections and annual meetings
