The Youth Department Registration & Administrative Associate manages registration, payment processing, and intake for all Youth Department programs, maintains grant-related files and financial reporting, manages department social media, and provides general administrative support to the Youth Services Division.
DUTIES AND RESPONSIBILITIES:
? Manage registrations for all Youth Department programs, including intake of new
families and assisting families through the registration process.
? Respond to phone calls and walk-ins with registration-related questions, providing
information and assistance directly.
? Track and report on registration numbers and enrollment trends to the Assistant Director
on a regular basis.
? Work collaboratively with Program Coordinators to support recruitment efforts and share
registration data that informs outreach.
? Process registration payments and maintain accurate, up-to-date payment records across
all forms of payment.
? Manage the processing and payment of referral vouchers.
? Prepare monthly income, spending, and grant-related financial reports, and participate in
monthly meetings with the Business Office to review this information.
? Order and maintain program supplies, materials, and office equipment.
? Assist with social media postings for all Youth Department programs
? Organize and maintain all department files, records, and reports. Including grant-related
documentation, demographic data, and files relating to program participants, operations,
and activities.
? Extract and compile demographic information for grant reporting and funder
documentation as needed.
? Maintain a confidential atmosphere for staff and clients.
? Provide outreach to community and families/youth regarding events.
? Assist in coordinating numerous events throughout the year.
? Provide support to the Administrative Coordinator; serve as backup as needed.
? Performs other related duties as assigned by management.
· High school diploma or general education degree (GED)
· Excellent attention to detail
· Experience with Microsoft Office and Google Drive
· Bi-lingual (Spanish); highly preferrable
· EEC Essentials Training; highly preferrable
Part-time; minimum of 3 days per week, 15 hours biweekly. Must be available to work some evenings and weekends to support tournaments, field trips, cultural/program events, and other department activities.
