Position Overview:
The Operations Scheduling Coordinator supports day-to-day field operations by building and maintaining technician schedules, coordinating assignment changes, and ensuring accurate communication across technicians, project managers, and internal support teams. This role helps keep projects staffed appropriately, supports administrative workflows tied to payroll and billing, and coordinates onboarding scheduling so new hires integrate smoothly into field and project scheduling processes.

Key Responsibilities:
1. Scheduling and Field Coordination:
· Build, update, and maintain daily/weekly technician schedules to support project timelines, outages, and staffing requirements.
· Coordinate technician assignments based on availability, project priorities, skill alignment (as provided by leadership), and required site constraints.
· Communicate schedule updates, changes, reporting expectations, and logistical details to technicians and project teams.
· Serve as the primary point of contact for schedule-related questions; troubleshoot conflicts and escalate constraints to Operations/PM leadership as needed.
· Maintain scheduling trackers and utilization logs to improve visibility of coverage and workload.
2. Administrative and Operational Support:
· Provide administrative support to Project Managers and Operations leadership (document organization, basic reporting, meeting notes, and follow-ups).
· Support timesheet collection and verification processes to help ensure accuracy and timely submission for payroll and billing.
· Maintain organized records, schedules, logs, and operational documentation following company standards.
· Coordinate routine operational tasks that support field readiness (site access requirements, roster updates, contact lists, and internal distribution lists).
3. Onboarding Coordination:
· Schedule onboarding activities (orientation sessions, introductions, first assignments/shadowing schedules, and initial schedule integration).
· Partner with HR and Operations leadership to ensure new hires are placed into scheduling workflows promptly and consistently.
· Maintain onboarding scheduling checklists and ensure onboarding scheduling steps are documented and completed.
4. Reporting and Documentation:
· Maintain accurate operational trackers (scheduling dashboards, staffing/utilization logs, and schedule-change history).
· Generate basic reports for leadership (coverage summaries, utilization snapshots, schedule exceptions, and backlog indicators).
· Support continuous improvement by identifying recurring scheduling pain points and recommending workflow updates.
5. Additional Responsibilities
· Perform other related duties as assigned to support business needs.

Requirements (Education, Experience, Skills & Attributes):
· High school diploma or equivalent.
· 2+ years of experience in scheduling, administrative support, dispatch, or operations coordination.
· Proficiency with Microsoft Office (Outlook, Excel, Word) and comfort working in shared trackers and scheduling tools.
· Strong organization, attention to detail, and follow-through; ability to manage multiple priorities in a deadline-driven environment.
· Strong written and verbal communication skills; ability to coordinate across technicians, PMs, and internal stakeholders.
· Ability to maintain confidentiality and handle sensitive information appropriately.
· Valid driver’s license required; must be able to operate a company or personal vehicle for business purposes and meet all applicable company and client screening requirements based on job duties (e.g., motor vehicle record, background check, drug testing, or other applicable screenings).
Preferred Qualifications:
· Experience in a technical, field-service, construction, industrial, or project-driven environment.
· Experience supporting timekeeping, scheduling, dispatch, or project coordination workflows.
· Associate degree or relevant coursework.
