Description

The Accounting Coordinator provides operational and administrative support to the accounting department to ensure financial transactions, documentation, and compliance processes are completed accurately and efficiently.



Major Job Responsibilities, Functions, and Duties:


Compliance, Sales Tax, & Regulatory Support

  • Maintain and track customer sales tax exemption certificates, including monitoring expiration dates and requesting renewals as necessary.
  • Pull sales reports and transaction data from the company’s sales tax platform and assist in preparing documentation supporting sales tax filings and reconciliations.
  • Prepare and file annual corporate reports and registrations.
  • Perform periodic checks of state payroll tax and sales tax portals to confirm account status and compliance.

Accounts Payable & Accounts Receivable Support 

  • Enter corporate credit card transactions in the accounting system and verify supporting receipts to ensure compliance with company expense policies.
  • Assist with vendor record maintenance, including collection and organization of W-9 documentation.
  • Process credit card payments submitted by customers via email or other approved channels.

Cash Monitoring & Financial Transaction Review

  • Perform daily reviews comparing bank activity to transactions recorded in QuickBooks to confirm that deposits, credit card settlements, and withdrawals are properly recorded in the accounting system.
  • Identify and flag discrepancies between bank activity and accounting records for review by the accounting team.
  • Assist with organizing documentation that supports monthly bank reconciliations.

Financial Data & Administrative Support

  • Export sales and financial transaction reports from internal systems.
  • Maintain organized accounting documentation including reports and financial records.
  • Support special projects and operational improvements within the accounting department.
  • Perform other accounting tasks and projects as needed. 
Requirements

General Job Requirements:

  • Bachelor’s degree in Accounting, Finance, Business, or related field required.
  • 0–2 years of accounting, bookkeeping, or financial administrative experience preferred.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to organize large volumes of financial documentation and data.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Experience with accounting systems such as QuickBooks or ERP systems preferred.
  • Ability to communicate effectively with internal team members and external customers.
  • Demonstrates integrity, accountability, and commitment to maintaining confidentiality of financial records.

Physical Job Requirements:

  • Able to work in the headquarters office located in Chicago, IL as needed.
  • Able to remain in a stationary position, either sitting or standing, for prolonged periods of time.
  • Able to move about the office to access common equipment such as filing cabinets, copier, printer, etc.
  • Able to move and lift objects up to 20 pounds.
  • Able to travel domestically.


Compensation:

This is an entry-level Accounting position for someone with 0 - 2 years experience. The compensation the Accounting Coordinator can expect to earn is $52,000 - $58,000 annual salary, based on experience and qualifications.
