Project Administrator
Description

  

  • Serve as the first point of contact for callers, ensuring a welcoming and professional experience.
  • Manage the main phone line, directing calls to the appropriate department team members or taking detailed messages.
  • Manage all incoming service requests via phone or email, determining warranty or billable and input into the system. 
  • Enter/Maintain Remodeling Department schedules in Microsoft Access
  • Assist in initial entry of Outlines into Buildertrend & Microsoft Access
  • Coordinate all keys and lock boxes for jobs.
  • Call Customers to confirm schedule start date.
  • Make daily calls for scheduling.
  • Creation of job binders for field use.
  • Support communication between departments by relaying messages and updates efficiently.
  • Provide support to Project Managers as needed.
  • Schedule all inspections needed for projects.
  • Prepare Notices of Commencement
  • Assist in application preparation for permits
Requirements

  

  • Strong communication and interpersonal skills; must be good with people.
  • Exceptional organizational abilities and attention to detail.
  • Proficiency in Microsoft Office Suite/Access and phone systems.
  • Ability to multitask and manage priorities in a busy office environment.
  • Experience with Buildertrend is a plus but not required.
  • Permitting/Inspections experience is a plus but not required.
  • Good attendance record
