Position Summary:
The Senior Executive Assistant is the primary person the C2ES President relies on to manage his calendar, emails, and expenses and to coordinate the timely preparation of briefing documents, and talking points for meetings and speaking engagements. The role also provides critical organizational support, coordinating internal events, supporting board engagement logistics, and contributing to smooth day-to-day office operations. Working closely with the President and interacting with staff across C2ES, the Senior Executive Assistant is at the center of a dynamic, growing, high-impact nonprofit organization. This position reports to the Senior Director of Operations.
Major Responsibilities
Executive assistance
- Manage President’s calendar, including scheduling internal and external meetings and arranging travel, meals, and hotels as necessary;
- Manage President’s email, including managing flow of draft emails from staff into email draft folder and screening incoming emails and flagging urgent issues;
- Prepare President’s expense reports and timesheets;
- Work with development and communications teams to prepare and send donor and stakeholder communications from President’s email;
- Identify and notify relevant program, communications, and development staff about upcoming external meetings and work with them to coordinate the timely preparation and delivery of talking points and background materials as needed;
- Draft letters, e-mails and other business communications as needed;
Organizational support
- Assist with logistics (such as coordinating and managing travel, catering, hotels, and venues etc.) for significant internal events including all-hands weeks, annual retreats, staff meetings, etc.
- Provide support to development team for meetings of the C2ES Board of Directors, including office catering, meals, and other logistics;
- Support office operations by proactively contributing to space upkeep, materials and equipment maintenance, and purchasing needs;
- Serve as a floor safety warden at 1400 K St NW;
Organizational participation
- Demonstrate commitment to valuing diversity, contributing to an inclusive working and learning environment. All staff, including senior leadership team, are expected to participate in monthly meetings conducted by the staff-led Justice, Equity, Diversion and Inclusion (JEDI) Council, which provide an opportunity and safe space for staff to learn and engage with one another about diversity, equity, inclusion, and belonging issues, and to discuss steps C2ES is taking to strengthen those dimensions of our work both within the organization and externally;
- Complete management and other trainings assigned during on-boarding and on a yearly basis.
Qualifications and skills:
- Excellent organizational skills and attention to detail
- Ability and willingness to work at pace and respond rapidly to changes in President’s needs and calendar
- Proven experience as an executive assistant or scheduler
- Discretion, dependability, patience, and good judgment
- Ability to work collaboratively and get along with a wide range of people inside and outside the organization
- Flexibility and willingness to contribute as needed in a dynamic and growing but still nimble organization
- Strong verbal and written communication skills
- Commitment to C2ES’s values
- At least 10 years’ relevant experience in the government, nonprofit, or private sectors.
Reporting to: Senior Director of Operations
Employment Status: Full-time, benefits-eligible; exempt from overtime.
Travel, Time & Location Requirements: Position is based in Washington, DC and requires a minimum of three days a week in office.
Starting salary range: $82,000-$103,000; salary within range will be determined by experience and qualifications.
