Position Overview

Chartis Federal is seeking an Executive Administrative Assistant to provide administrative and front-office support to the Customer's Strategic Planning Office (SPO). The Executive Administrative Assistant will support leadership and staff through calendar management, meeting coordination, records management, document preparation, and office administration activities. This position serves as a key member of the front office team, helping ensure efficient operations and effective coordination across the organization.


This position is contingent upon award.


Duties and Responsibilities

  • Manage leadership calendars, schedules, and meeting requests.
  • Coordinate meetings, conferences, reviews, and other organizational events.
  • Prepare meeting agendas, materials, and supporting documentation.
  • Maintain office records, files, repositories, and documentation systems.
  • Assist with preparation, formatting, and distribution of correspondence, reports, and presentations.
  • Coordinate administrative activities and support day-to-day office operations.
  • Maintain organized filing systems for both electronic and hard-copy records.
  • Track administrative actions, suspense items, and office deliverables as assigned.
  • Coordinate information requests and administrative support requirements.
  • Support onboarding, office logistics, and administrative processes as directed.
  • Assist with maintaining office procedures, templates, and administrative documentation.
  • Ensure assigned administrative products and deliverables are completed accurately and within established deadlines. 
Requirements
  • Active Secret (S) security clearance.
  • Bachelor's degree in Business Administration, Communications, Management, or a related field.
  • Minimum of six (6) years of relevant experience providing executive administrative, office management, or administrative support services.
  • Experience supporting senior executives, leadership teams, or government officials.
  • Experience managing calendars, scheduling meetings, and coordinating administrative activities.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

Preferred Qualifications

  • Experience supporting Department of Defense organizations.
  • Experience supporting executive offices, front offices, or program management offices.
  • Experience maintaining records management systems or document repositories.
  • Experience coordinating executive-level meetings, reviews, or leadership engagements.
  • Experience supporting multiple stakeholders in a fast-paced environment.
