JOB SUMMARY
The Executive Business Partner serves as a trusted strategic advisor, operational leader, and execution partner within the Office of the CEO. This highly visible role acts as an extension of the executive leadership team, driving organizational effectiveness, managing critical business rhythms, and ensuring alignment across corporate initiatives. The position combines executive partnership, strategic project management, board governance support, corporate communications, and operational oversight to maximize executive effectiveness and accelerate business outcomes within a dynamic Contract Research Organization (CRO).
RESPONSIBILITIES
Executive Partnership & Strategic Leadership
- Serve as a trusted advisor and strategic partner to the CEO and executive leadership team.
- Anticipate executive needs and proactively manage priorities, business rhythms, and critical deliverables.
- Prepare executives for leadership meetings, client engagements, investor discussions, and Board meetings.
- Build strong relationships across leadership teams to enhance organizational alignment and decision-making.
Strategic Projects & Corporate Cadence
- Lead and coordinate high-priority strategic initiatives spanning multiple departments.
- Own planning and execution of Quarterly Business Reviews (QBRs), leadership meetings, executive offsites, and Town Hall meetings.
- Monitor strategic initiative progress and drive accountability for deliverables and milestones.
- Develop and maintain executive dashboards, project trackers, and reporting tools.
- Capture leadership decisions, document action plans, and ensure follow-through on key commitments.
Board Governance & Executive Communications
- Manage end-to-end Board of Directors meeting preparation, including agenda development, content collection, presentation preparation, and reporting.
- Create executive-ready presentations for Board, investor, leadership, and client meetings.
- Draft executive communications, organizational announcements, and strategic messaging.
- Ensure consistency and professionalism across executive communications and presentations.
Executive Operations & Business Management
- Own and optimize the executive team’s complex calendars; evaluate, prioritize, and allocate time based on high-value business objectives.
- Serve as a strategic gatekeeper, prioritizing requests and opportunities.
- Coordinate domestic and international travel arrangements, executive events, and meeting logistics for aligned executives..
- Manage core administrative workflows, coordinate door-to-door domestic/international travel logistics, process expense reports with high accuracy, write professional correspondence, and handle sensitive business matters with absolute discretion.
- Ensure seamless execution of executive workflows and operational activities.
Stakeholder Engagement & Organizational Effectiveness
- Serve as a liaison between executive leadership and internal and external stakeholders.
- Support client, sponsor, investor, and partner interactions on behalf of executive leadership.
- Facilitate cross-functional collaboration and remove barriers to execution.
- Support employee engagement initiatives and leadership communication efforts.
- Other duties as assigned.
Salary range between $95,000 - $110,000. Final compensation is based on skills, experience, location, and overall expertise.
TRAVELING
Occasional travel to HQ for management meetings
- Bachelor’s degree in business administration, Life Sciences, Healthcare Administration, or a related field.
- Two (2) to four (4) years of professional experience in an executive assistant, administrative partner, business operations, or project management role
- Experience in a CRO, biotechnology, pharmaceutical, healthcare, or life sciences environment preferred.
- Demonstrated project and program management experience leading cross-functional initiatives.
- Advanced command of Microsoft PowerPoint (for executive decks), Excel (for data synthesis/reporting), and dedicated Project Management software (e.g., Asana, Monday, MS Project).
- Strong presentation development, business writing, and executive communication skills.
- Experience preparing executive-level reports, dashboards, and Board of Directors materials.
- Exceptional organizational, analytical, and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
- High degree of professionalism, discretion, and sound judgment in handling confidential information.
