Position Summary
We are seeking a Proposal Coordinator to join our team. The Proposal Coordinator / Technical Writer plays a critical role in the development of compliant, high-quality federal proposals. This position supports proposal strategy and execution by coordinating inputs, organizing content, ensuring compliance, and contributing to the narrative. The coordinator works closely with the Proposal Manager, Business Development Manager, and subject matter experts to align all elements of the response and deliver polished, evaluator-focused submissions to that position M6 to win.
Proposal Coordination and Compliance
- Support the Proposal Manager in developing outlines, compliance matrices, kickoff materials, and schedules aligned to government instructions
- Read and interpret RFPs, RFIs, RFQs, and task orders to identify response requirements, evaluation criteria, formatting rules, and submission guidelines
- Coordinate content development across all contributors, ensuring timely inputs from Contracts, Pricing, Recruiting, and technical leads
- Maintain version control and document tracking across platforms such as SharePoint and Microsoft Teams
- Monitor deadlines and ensure all required components are submitted in the correct format, sequence, and delivery method
- Support proposal reviews by preparing reviewer guides, capturing feedback, and implementing edits for content, structure, and compliance
- Prepare final deliverables for submission, including formatting, proofreading, conversion, and packaging
Technical Writing and Content Development
- Write and edit assigned proposal sections such as past performance, staffing plans, compliance matrices, management approaches, and cover letters
- Ensure all narrative content aligns with customer requirements, evaluation factors, and M6 messaging
- Translate technical input into clear, evaluator-friendly language and ensure consistency in voice, tone, and terminology across the document
- Identify opportunities to use graphics and visual aids to clarify complex ideas and enhance evaluator engagement
- Tailor existing boilerplate to reflect opportunity-specific priorities and remove irrelevant or outdated content
Content Management and Quality Assurance
- Support the maintenance of the content library by tagging reusable content, storing finalized documents, and proposing updates when appropriate
- Flag missing or low-quality content and work with the Proposal Writer or Content Manager to resolve gaps
- Create templates, checklists, contact lists, and formatting tools that improve quality and consistency across proposals
- Contribute to lessons learned activities and implement process improvements to strengthen proposal outcomes
- Minimum of three to five years of experience supporting federal government proposals
- Strong understanding of compliance requirements for RFPs, RFIs, RFQs, and task orders
- Familiarity with APMP or Shipley methodologies and experience coordinating within structured proposal processes
- Demonstrated ability to manage multiple deadlines, coordinate across departments, and ensure timely, accurate submissions
Technical Proficiency
- Proficiency in Microsoft Word, Excel, PowerPoint, SharePoint, Teams, and Adobe Acrobat
- Experience using Adobe InDesign, GovWin, eBuy, and Seaport
- Familiarity with AI tools such as ChatGPT for drafting, editing, and formatting content

Education & Eligibility
- Must be a U.S. Citizen, Permanent Resident, or Dual Citizen
- Bachelors Degree in relevant field or equivalent experience

Compensation & Benefits
Compensation varies based on factors such as location, experience, and skill set. For positions based in California, Colorado, D.C., Maryland, New York, or Washington, the salary range is $50,000 – $85,000 (if annualized).
