Development & Campaign Coordinator
Description

The Development & Campaign Coordinator serves as the primary administrative and operational support to the Chief Development Officer (CDO), supporting the execution of fundraising priorities, departmental initiatives, and strategic projects. This position provides critical administrative, project management, and donor support for the Dallas Symphony Orchestra's development activities, including both the annual fund and a comprehensive campaign. The role ensures effective communication among staff and volunteer leadership, supports donor cultivation, solicitation, and stewardship efforts, and helps advance the Development Department's fundraising goals. The ideal candidate is highly organized, proactive, and detail-oriented, with strong communication skills and a passion for advancing the mission of the DSO through philanthropy. 


Key Responsibilities


Executive Support to the Chief Development Officer 

  • Manage the CDO's calendar, scheduling priorities, and meeting logistics.  
  • Coordinate meetings, prepare agendas, presentations, and supporting materials.  
  • Prepare pre- and post-meeting donor materials, briefing documents, and follow-up communications.  
  • Track action items, deadlines, and departmental priorities on behalf of the CDO.  
  • Support the execution of fundraising priorities, departmental initiatives, and strategic projects.  
  • Process invoices and compile monthly expense reports for the CDO. 
  • Assist with committee, board, and leadership meeting preparation and administration.  
  • Facilitate communication among staff and volunteer leadership.  
  • Support cross-departmental collaboration with Development, Marketing, and Artistic teams. 
  • Conduct prospect research and prepare donor briefing materials.  
  • Manage the campaign calendar and coordinate internal and external communications. 
  • Track campaign progress, gift commitments, and pledges in collaboration with the database. 
  • Assist with donor cultivation and stewardship efforts.  
  • Perform general administrative duties and other responsibilities as assigned. 

Campaign Coordination 

  • Provide administrative and project management support for the DSO's comprehensive campaign.  
  • Manage campaign timelines, deliverables, and project tracking.  
  • Assist with the development of campaign proposals, presentations, and donor materials.  
  • Support campaign communications and stewardship efforts.  
  • Assist with campaign cultivation and recognition events as needed. 

Departmental Administration 

  • Provide administrative and project management support for the Development Department's fundraising activities.  
  • Support stewardship efforts including gift tracking, recognition events, campaign updates, and donor records management. 
  • Maintain accurate and up-to-date records within Tessitura and other departmental systems.  
  • Support departmental budget tracking and administrative processes.  
  • Coordinate Development complimentary ticket requests with the Box Office.  
  • Prepare correspondence, acknowledgment letters, mailings, and other donor communications.  
  • Coordinate logistics for donor cultivation and recognition events, including guest lists, RSVPs, materials preparation, on-site support, and follow-up communications. 
Requirements
  • Bachelor’s degree in Nonprofit Leadership, Business Administration, Philanthropy or an equivalent combination of education and professional experience. 
  • Minimum of 2 years of administrative experience 
  • Ability to work in a team-oriented environment 
  • Strong ability to multitask and support multiple stakeholders in order to meet deadlines and business objectives 
  • Must maintain confidentiality 
  • Excellent verbal and written communication skills 
  • High attention to detail and strong organizational skills 

Preferences 

  • Experience with Microsoft Office (PowerPoint, Word, Excel, Publisher) 
  • Experience with Canva 
  • Experience with Tessitura
