Position Summary

The Shipping & Receiving Clerk / Materials Associate is responsible for the accurate and timely receipt, shipment, movement, and staging of materials throughout the facility. The position serves as a key connection between Shipping & Receiving, Materials, Production, Purchasing, and Inventory Control. The primary responsibilities of this position are shipping and receiving activities, including preparing outbound shipments, receiving inbound materials, verifying documentation, and completing transactions within the ERP system. The position also supports materials activities by moving, staging, organizing, and replenishing raw materials, components, work-in-process (WIP), and finished goods to support production requirements. Success in this role requires a strong focus on safety, inventory accuracy, material traceability, timely transactions, and support of production schedules.

 Key Responsibilities


Shipping 

  • Prepare finished goods, components, and other materials for shipment according to customer and company requirements. 
  • Verify items, quantities, part numbers, packaging, and shipping documentation prior to shipment. 
  • Pick, package, label, palletize, and stage outbound shipments. 
  • Prepare bills of lading, packing slips, shipping labels, and other required documentation. 
  • Coordinate with carriers and internal personnel for scheduled pickups. 
  • Load outbound trucks safely and verify shipments prior to departure. 
  • Complete shipping transactions accurately and promptly in the ERP system. 
  • Maintain organized staging areas to prevent shipment errors or product damage. 
  • Assist in investigating shipping discrepancies and correcting errors. 

Receiving 

  • Receive incoming raw materials, components, supplies, equipment, and other deliveries. 
  • Unload inbound trucks safely using appropriate material-handling equipment. 
  • Verify received materials against purchase orders, packing slips, and other documentation. 
  • Confirm part numbers, quantities, packaging condition, and other required information. 
  • Identify damaged, incorrect, or nonconforming materials and communicate discrepancies to appropriate personnel. 
  • Complete receiving transactions in the ERP system promptly and accurately. 
  • Label received materials according to company standards. 
  • Route materials requiring inspection to the appropriate inspection or quarantine area. 
  • Put away approved materials into designated inventory locations. 

Materials Support 

When shipping and receiving requirements allow, support Materials and Production with the following: 

  • Pick and stage raw materials and components required for production work orders. 
  • Deliver materials to designated production locations in support of the production schedule. 
  • Move work-in-process between production operations as required. 
  • Transfer finished goods from Production to designated finished-goods inventory or shipping locations. 
  • Replenish production point-of-use and material staging locations. 
  • Perform ERP inventory transfers when materials are physically moved between locations. 
  • Return unused materials from Production to the appropriate inventory location. 
  • Maintain proper identification and traceability of materials throughout the facility. 
  • Assist with material shortages by verifying inventory locations and physical quantities. 
  • Support FIFO or other company-defined inventory rotation practices. 
  • Maintain organized material storage and staging areas. 
  • Assist with cycle counts and physical inventory activities. 
  • Research basic inventory discrepancies and escalate unresolved issues to Inventory Control or management. 

ERP and Inventory Responsibilities 

  • Perform shipping, receiving, inventory transfer, and other assigned transactions accurately in the company's ERP system. 
  • Ensure physical material movement and ERP transactions occur together to maintain inventory accuracy. 
  • Verify inventory locations before moving or staging materials. 
  • Report incorrect inventory quantities, locations, part numbers, or labeling. 
  • Follow established procedures for lot, serial, revision, or other material traceability requirements when applicable. 
  • Assist with maintaining accurate inventory location data. 

Safety and Workplace Responsibilities 

  • Operate forklifts, pallet jacks, and other material-handling equipment safely and in accordance with company policies. 
  • Follow all facility safety requirements and wear required PPE. 
  • Inspect material-handling equipment before use and report unsafe conditions. 
  • Maintain clean and organized docks, aisles, staging locations, and storage areas. 
  • Secure loads appropriately during material movement. 
  • Report damaged materials, unsafe conditions, and workplace incidents immediately. 
  • Follow established procedures for handling heavy, oversized, or potentially hazardous materials. 


Requirements


  • Ability to accurately read part numbers, quantities, purchase orders, work orders, and shipping documentation. 
  • Basic computer and data-entry skills. 
  • Ability to learn and perform transactions within an ERP system. 
  • Ability to safely operate material-handling equipment. 
  • Strong attention to detail and organizational skills. 
  • Ability to communicate effectively with Production, Purchasing, Materials, Quality, and Logistics personnel. 
  • Ability to work independently and prioritize multiple responsibilities. 

Preferred Qualifications  

  • High school diploma or GED preferred. 
  • 1+ year of experience in shipping, receiving, warehouse, materials, inventory, or manufacturing operations preferred. 
  • Previous manufacturing experience. 
  • Experience with ERP or warehouse management systems. 
  • NetSuite experience. 
  • Forklift certification or previous forklift experience. 
  • Experience with barcode scanners or mobile inventory systems. 
  • Experience performing cycle counts or inventory transactions. 

Physical Requirements 

  • Ability to stand and walk for extended periods. 
  • Ability to bend, reach, stoop, push, and pull as required. 
  • Ability to regularly lift and move materials weighing up to 50 pounds, with appropriate assistance for heavier items. 
  • Ability to safely operate forklifts, pallet jacks, carts, and other material-handling equipment. 
  • Ability to work in warehouse and manufacturing environments that may include varying temperatures and noise levels. 

Working Conditions

  • Manufacturing or production environment with occasional exposure to noise, etc.
  • Day Shift - 6:30am-5pm M-F with some weekend work possible depending on business needs
