The Ventilator Support Coordinator is an administrative support role responsible for coordinating ventilator repair and service requests. This position does not perform clinical or technical repairs. Instead, the Coordinator manages communication, documentation, scheduling, and vendor follow-up to ensure ventilator equipment is repaired or replaced in a timely manner. Job Location:
- High school diploma or equivalent required.
- 1–2 years of administrative, healthcare operations, or customer service experience preferred.
- Experience in DME, respiratory, or medical equipment setting preferred but not required.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Comfortable managing multiple open tasks simultaneously.
- Strong attention to detail and follow-through.
Job Responsibilities, included but not limited to:
- Receive and process ventilator repair or service requests from internal staff and external partners.
- Coordinate repair scheduling with manufacturers and third-party service vendors.
- Track open repair tickets and follow up to ensure timely completion.
- Arrange loaner or replacement equipment when repairs are required.
- Maintain accurate documentation in EMR and/or equipment tracking systems.
- Update internal teams on repair status and expected turnaround times.
- Maintain organized records of service logs, warranty information, and invoices.
- Communicate professionally with vendors, field staff, and operations teams.
- Escalate urgent equipment issues to management as needed.
- Assist with data entry, reporting, and administrative projects related to ventilator operations.
Physical Demands

While carrying out the duties of this position, the employee is regularly required to communicate verbally and listen attentively. The employee frequently is required to stand and walk, lift, open filing cabinets and bend as necessary. This position requires the ability to occasionally lift office products and supplies of a minimum weight of 25 pounds but no more than 50 pounds.
