Job Title: Marketing Move-In Coordinator
Location: 3935 Sunnyside Drive, Harrisonburg, VA 22801
Hours: 8:30 am - 5:00 pm
Starting pay will vary based on job-related skills, experience, and qualifications
Position Overview & General Responsibilities:
The primary responsibilities of the Marketing Move-In Coordinator are to communicate and engage directly with depositors and their families, as well as the staff or contractors responsible for the delivery and modification of the residence. Play a key role in implementing programs associated with the retention of depositors during the reservation and sales process. In addition, assist with marketing plan and team coordination of events.
- Assist depositors/future residents with residence options using step-by-step worksheets to simplify decisions and minimize stress during transitions.
- Guide depositors through selections for paint, carpet, cabinets, and custom options; provide suggestions, examples, and samples for interior choices.
- Create and maintain MOD sheets for each renovation; coordinate with the Director of Buildings & Grounds and subcontractors to ensure correct features, pricing, and timely completion.
- Record, approve, finalize, and obtain signatures and payment for all selections and modifications; forward invoices for custom selections prior to refurbishment start.
- Maintain accurate records and upgrade cost spreadsheets; ensure documentation of all resident choices.
- Regularly inspect residences to confirm selections and customizations are implemented as planned.
- Support move-in process with exceptional customer service, coordinating with maintenance, housekeeping, and dining; follow the 1,2,3 punch follow-up process.
- Conduct final walk-throughs, develop punch lists, and ensure all corrections are completed before move-in.
- Stage units for marketing, including Staycation residences; restock and organize Staycation items and furniture.
- Assist in planning, coordinating, and executing marketing events and team meetings.
- Provide administrative support for internal campus moves in collaboration with the Marketing Director and Assistant.
- Report weekly and monthly statistics, including Modification Meeting Reports, Upcoming Move-Ins, Selection Guidelines, and year-end move-in data.
- Practice good stewardship of time, materials, and other resources.
- Perform other duties as assigned.

Requirements
Qualifications:
- Education/experience equivalent to a bachelor’s degree in marketing or related field preferred.
- One plus years of experience in marketing team environment with interior design and/or construction/renovation proficiency preferred.
- Team player with effective human relations skills and desire to work with the senior population.
- Strong attention to detail, as well as ability to multi-task with proven organizational skills.
- Self-starter with leadership skills, oriented to accomplishing goals.
- Ability to work with confidential information and maintain its’ integrity in compliance with the Health Insurance Portability and Accountability Act (HIPPA).
- Ability to process information accurately, make appropriate decisions and take appropriate action based upon the information available.
- Proven written and verbal communication skills, including service-oriented phone etiquette.
- Experience with database management preferred.
- Able to operate personal computer, printer, copy machines and other general office equipment. Proficient with Microsoft Office (Work, Excel, Publisher, PowerPoint).
- Current Virginia driver’s license, meeting driver eligibility requirements per Sunnyside policy HR069. Must be willing to use personal vehicle for tours and off campus functions, with mileage reimbursement.
- Excellent customer service skills; maintain a hospitality approach to engaging with all individuals.
Physical & Environmental Considerations:
Normal lighting levels, temperature ranges, air quality, ventilation and noise levels; will require some work outdoors in various weather conditions. Lifts, carries, pushes or otherwise manipulates equipment and office materials weighing up to 25lbs. Always use proper lifting and moving protocols and techniques. Considerable walking and standing; up to eight hours on occasion, driving automobile as well as climbing stairs. Minimal hazards commensurate with general office conditions with driving and/or riding in motorized vehicles.
