We are seeking a professional, friendly, and highly organized Receptionist / HR Assistant to join our team in Holton, Kansas. This position serves as the first point of contact for visitors, clients, and employees while providing administrative and human resources support. The ideal candidate will be customer service-oriented, detail-focused, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
Reception and Administrative Support
- Serve as the primary receptionist by answering, screening, and directing incoming calls in a courteous, professional, and timely manner.
- Monitor and maintain phone and voicemail systems, reporting issues as needed.
- Coordinate conference room scheduling and ensure meeting spaces are organized and equipped for use.
- Receive, sort, and distribute incoming mail and packages; coordinate courier services and special organizational mailings.
- Maintain postage supplies and submit postage-related expenses to the Accounting Department.
- Maintain a clean, professional, and welcoming reception area.
- Assist with filing, data entry, document preparation, and meeting materials.
- Review outgoing correspondence for accuracy, formatting, and completeness.
- Monitor office supply inventory and coordinate ordering as needed.
- Respond promptly and professionally to inquiries and requests for information.
- Assist with preparing and shipping equipment to remote employees.
- Represent the organization professionally at meetings, events, and community functions.
- Collaborate effectively with staff across departments to support organizational goals and maintain a positive team environment.
Human Resources Support
- Support HR and Operations by coordinating interview schedules, onboarding activities, and employee communications.
- Ensure compliance with applicable federal, state, and company employment policies and regulations.
- Respond to employee and management inquiries regarding HR policies, procedures, and programs.
- Maintain accurate and confidential employee records, including job descriptions, FLSA classifications, and position-related competencies.
- Coordinate candidate interview logistics, including schedules, travel arrangements, lodging, meals, and facility tours when required.
- Assist with recruitment and employee engagement initiatives.
- Support organizational efforts to attract and retain talent by contributing ideas related to policies, benefits, compensation, and workplace programs.
- Contribute to the achievement of departmental and organizational objectives through special projects and other assigned duties.
- Support Prairie Band Potawatomi Nation events and activities as needed.
Security and Facilities Support
- Adhere to established security procedures by maintaining visitor logs, issuing guest badges, and monitoring building access.
- Assist in maintaining a safe, secure, and professional office environment.
Education
Required:
- High School Diploma or GED.
Preferred:
- Certificate or associate’s degree in human resources, Business Administration, Office Administration, or a related field.
Experience
Required:
- Six (6) months to one (1) year of administrative, receptionist, customer service, or human resources experience.
Preferred:
- Two (2) or more years of experience providing administrative, receptionist, or HR support services.
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Windows-based applications.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to manage multiple tasks and prioritize work effectively.
- Ability to work independently and as part of a team.
- Strong organizational skills with exceptional attention to detail.
- Ability to handle confidential information with professionalism and discretion.
- Ability to exercise sound judgment and solve practical problems.
- Ability to read, write, and speak English fluently.
- Valid driver's license and ability to travel as needed.
- Successful completion of a background check and pre-employment drug screening.
Physical Requirements
- Ability to remain seated for extended periods.
- Ability to use a computer, telephone, and other standard office equipment.
- Ability to occasionally lift and carry up to 45 pounds.
- Ability to bend, reach, kneel, twist, and grasp objects in the performance of job duties.
