KEY RESPONSIBILITIES
- Maintain clear, professional communication with internal teams, residents, and vendors. Represent the property management team with integrity and expertise.
- Ensure all projects, tasks, and move-ins are coordinated, scheduled, and timelines met within budget.
- Develop and maintain turn schedules, ensuring the team has clear direction and prioritization for unit turns to ensure timely completion inside of the company's turn time guidelines.
- Schedule and manage unit turns and contractors' activities in the designated region with a focus on vendor accountability to eliminate damage caused by poor workmanship and ensure quality work that meets our Five Start expectations.
- Vet new turn vendors.
- Proactively review unit turn exposure 90 days in advance and create strategic plans to ensure turns will be completed within company turn guidelines set forth at any given time.· Work with Area Property Manager, Area Service Manager, and Area Facilities Coordinator to keep within HUD guidelines (when applicable) for purchase requirements.
- Maintain strong relationships with vendors and contractors.
- Actively oversee the communities’ annual unit prep and interior supplies budgets at all portfolio sites.
- Ability to work collaboratively with leasing and facilities teams to solve problems professionally and focus on customer service.
- Maintain an effective inventory of tools and all unit turn supplies necessary for the timely completion of work.
- Review for accuracy and submit monthly inspection logs, including key, truck and snow logs.
- Assist the Area Service Supervisor in strategic planning and scheduling quarterly unit inspections, as well as all government and municipal inspections, to ensure their completion.
- Maintain an organized, clean, and safe work environment and comply with site safety and hazardous communication standards.
- Ensure the most up-to-date information is input in the property management software.
- Perform any additional tasks as requested.
- Abide by all local, state, and federal Fair Housing guidelines.
WORK ENVIRONMENT
- Gillespie Group is an in-person workplace.
- We value in-person collaboration and live by the motto “work hard – play hard.”
- All team members are expected to work onsite Monday through Friday during standard business hours, unless otherwise specified by their role or designated shift.
- Physical Requirements: Prolonged periods of sitting and computer use; occasional movement between buildings; ability to lift up to 100 lbs. occasionally.

POSITION REQUIREMENTS
- Gillespie Group requires a background and drug screen as a condition of employment.
- A valid driving license, reliable transportation, and current automobile insurance are required.
- The position requires individuals to provide their own vehicle to fulfill all of the job’s functions.
- Minimum of 2 years’ previous experience in Property management
- High school diploma, general education degree, or related Vocational Training and/or equivalent work experience
- Strong organizational skills and the ability to manage multiple priorities.
- Proficient in Microsoft Office and Outlook
- Excellent written and verbal communication skills.
