Description

The Patient Services Specialist provides essential support and administrative services to the clinic, the therapists, the patients, and their families in a fast-paced environment. This person will be involved in a wide spectrum of tasks, including patient customer service, scheduling, data entry, and social media.

Requirements

Required Skills and Experience:

  • High School Diploma/ GED equivalent
  • Ability to establish and maintain effective working relationships with patients, other employees, and the public. 
  • 2+ years of admin support in a medical environment is preferred
  • Knowledge about health insurance, pre-authorization, insurance verification, medical terminology, preferred
  • Must have excellent customer service skills
  • Able to work in a fast-paced and demanding work environment
  • Must demonstrate a strong work ethic and maintain professionalism at all times
  • Must have a team mentality, flexibility, and willingness to learn
  • The ability to communicate effectively, multitask, and work under pressure is the key to success in this position, which also requires attention to detail and a commitment to achieving consistent customer satisfaction.
  • The ability to uphold HIPAA compliance.
  • Must exercise good judgment and discretion
  • Technologically savvy and familiar with Microsoft Office products, including Google Workspace- Word, Excel
  • Good communication and networking skills are a must.
  • Must be bilingual in English and Spanish.

Primary Responsibilities

  •  Manage the check-in/check-out experience with minimal supervision, ensuring families move smoothly through the visit process.
  •  Independently handle daily front-desk operations such as phones, email traffic, and appointment flow using standardized scripts and workflow charts.
  •  Execute routine scheduling of appointments, reschedules, and cancellations within predefined protocols and clinic rules.
  •  Maintain EMR accuracy by entering and updating demographics, insurance details, and visit documentation consistently.
  •  Communicate with families through calls and EMR messaging promptly and in alignment with clinic communication standards.
  •  Take ownership of maintaining the waiting area, supply needs, and check-in materials in an efficient and proactive way.
  •  Proactively identify schedule conflicts, missing information, authorization, or incomplete documentation, and correct and resolve appropriately.
  •  Carry out routine administrative tasks, routing forms, preparing basic documentation, office maintenance, and supporting therapists as assigned.
  •  Manage daily payment collection, in line with clinic policy.

Salary Description
$18 - $22 per hour
