POSITION SUMMARY:

Position Title: Government Contracts and Operations Manager


Job Summary:

We are seeking a highly organized, technically savvy Government Contracts & Operations Manager to oversee and support the management of government contracts and contract vehicles for a growing small business. This role will be responsible for understanding contract requirements, developing and maintaining internal processes, and ensuring the team can efficiently identify, add, manage, and sell products through applicable government contract vehicles. The ideal candidate will have hands-on experience with GSA and NASA SEWP, be a proactive problem-solver, and be comfortable working with government customers, internal teams, vendors, and leadership. This person should be equally comfortable navigating contract requirements and finding technology-driven ways to make processes more efficient.


DUTIES AND RESPONSIBILITIES:

Essential Duties:


Government Contract & Vehicle Management:

  • Manage and maintain multiple government contract vehicles and associated requirements, including GSA and NASA SEWP.
  • Maintain a strong working knowledge of GSA Schedules, GSA Advantage, NASA SEWP, and other federal contract vehicles.
  • Understand contract terms, ordering procedures, pricing, product requirements, modifications, and compliance obligations.
  • Monitor contract updates, modifications, renewals, reporting requirements, and other administrative activities.
  • Coordinate with internal teams to ensure contract information, pricing, products, and documentation remain accurate and current.
  • Serve as an internal resource for questions related to government contracts and ordering procedures.

GSA & NASA SEWP:

  • Manage day-to-day activities associated with GSA and NASA SEWP contracts.
  • Understand the requirements and processes for adding products, manufacturers, and offerings to GSA and SEWP.
  • Support contract modifications, product updates, pricing changes, and other contract maintenance activities.
  • Work with manufacturers, distributors, and vendors to obtain required documentation and information.
  • Monitor contract compliance and ensure internal teams follow applicable contract requirements.
  • Identify opportunities to maximize the company's offerings and revenue through existing GSA, SEWP, and other contract vehicles.

Tech Refresh & Product Management:

  • Understand government contract Tech Refresh processes and requirements for adding new or updated products to existing contracts.
  • Coordinate the process of introducing new products, manufacturers, SKUs, and technologies onto applicable contract vehicles.
  • Work with vendors, manufacturers, distributors, and internal stakeholders to gather required documentation and information.
  • Identify opportunities to expand the company's offerings through existing contracts.

Process Development & Continuous Improvement:

  • Create, document, and maintain clear internal processes and standard operating procedures (SOPs) for government contract activities.
  • Establish efficient workflows for contract requests, product additions, pricing, documentation, approvals, and compliance.
  • Identify bottlenecks and recommend improvements to increase speed, accuracy, and accountability.
  • Develop tools, templates, trackers, and workflows that make contract management easier for the broader team.
  • Continuously look for opportunities to automate repetitive processes and improve operational efficiency.

Technology & Systems:

  • Serve as a bridge between business processes and technology.
  • Understand integration points between systems, including CRM, ERP, contract management, quoting, e-commerce, and other business applications.
  • Identify and implement practical technology solutions that improve efficiency and reduce manual work.
  • Work with internal and external technical resources to improve system integrations and data flow.
  • Be comfortable learning new software, platforms, and government systems quickly.

Customer & Employee Support:

  • Provide professional, responsive, and helpful support to government customers and internal employees.
  • Clearly explain contract requirements and processes to individuals with varying levels of technical or government-contract experience.
  • Build strong relationships with customers, employees, vendors, manufacturers, and government-contract stakeholders.
  • Serve as a trusted resource who can help resolve issues while maintaining a high level of professionalism.
  • Proactively communicate status, requirements, deadlines, and potential issues.

Requirements

Required Skills:

  • 5+ years of experience working with federal government contracts, contract vehicles, or government procurement.
  • Hands-on experience with GSA and NASA SEWP is strongly preferred.
  • Strong understanding of federal government contracting and purchasing processes.
  • Experience managing multiple government contract vehicles.
  • Experience with GSA Schedule/GSA Advantage and NASA SEWP processes, requirements, and contract maintenance.
  • Understanding of Tech Refresh/product addition processes is highly desirable.
  • Experience creating and documenting business processes, SOPs, and workflows.
  • Strong organizational and project-management skills with excellent attention to detail.
  • Technologically savvy with the ability to understand systems, integrations, data flow, and automation opportunities.
  • Comfortable working with CRM, ERP, quoting, contract management, or other business systems.
  • Strong written and verbal communication skills.
  • Ability to work independently in a small-business environment and take ownership of responsibilities.
  • Strong customer-service mindset and professional interpersonal skills.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

Physical Demands

Sitting: The Government Contracts and Operations Manager will spend a significant portion of the day seated at a desk, attending meetings, and working on a computer.

Standing: Occasional standing is required during presentations, meetings, and site visits.

Travel: The Government Contracts and Operations Manager may be required to travel occasionally to meet with clients, government officials, and other stakeholders.

Mobility: The role may involve moving between different locations within the office or visiting operational sites, which may require walking or standing for extended periods.

Salary Description
$120,000.00 - $135,000.00
