Description

 Job Summary: As our Front Office Lead, you'll set the tone for every patient's first impression of our practice. You'll lead the day-to-day operation of the front desk, including scheduling, patient check-in and check-out, and coordination among front office staff, while providing warm, attentive service to patients and their families. You'll also serve as a mentor and point of guidance for front office team members and help ensure the office runs smoothly day to day. Other duties and responsibilities as assigned by supervisor. 

Requirements

 

Major Responsibilities:

· Lead day-to-day front office operations, including patient scheduling, records management, and insurance verification.

· Train and mentor front office staff on daily procedures, patient service standards, and practice management software.

· Foster a positive, welcoming environment at the front desk.

· Greet and welcome patients and their families with a warm and friendly demeanor.

· Assist with administrative tasks, including filing, data entry, and managing patient records.

· Process routine billing, coding, and collections tasks, escalating complex billing issues to the Office Manager or supervisor.

· Schedule appointments and manage the appointment calendar efficiently.

· Ensure the office adheres to all local, state, and federal regulations including HIPAA and OSHA standards.

· Serve as the first point of contact between patients, the surgical team, and external vendors or insurance companies, escalating complex matters as needed.

· Support marketing efforts, including but not limited to social media updates, email campaigns, and promotional events.

· Step in to support office management responsibilities in the Office Manager's absence.


Qualifications:

· High school diploma required; Associate's degree in healthcare administration, business, or a related field preferred.

· 1+ years of front office or administrative experience, preferably in a healthcare or dental setting.

· Excellent communication and interpersonal skills, especially with children and their parents.

· Strong organizational skills and attention to detail.

· Proficient in office software (e.g., MS Office, practice management software).

· Knowledge of basic dental terminology

· Willingness to support marketing efforts and contribute creative ideas.

· Ability to handle sensitive information with confidentiality.


Working Conditions/Physical Requirements:

· Standard business hours

· Work closely with the surgeon, staff, and patients.

· Sitting [80%]

· Standing [20%]

· Occasionally lift and move office supplies or equipment [(up to 25 pounds)].
