The Administrative Assistant – Franchise Operations & Corporate Recruiting will support the Franchise Operations team with franchisee onboarding, training coordination, documentation, data entry, and ongoing administrative needs. The position will also provide administrative support to Corporate Franchise Recruiting when needed, helping with recruiting coordination, candidate communication, scheduling, and other recruiting-related tasks.
The ideal candidate will be flexible and comfortable supporting different areas of the business. This person should be organized, proactive, have strong follow-up skills, and be able to manage changing priorities in a fast-paced environment.
ESSENTIAL FUNCTIONS:
Franchise Operations Support
- Manage franchisee onboarding documentation and maintain accurate records
- Schedule and finalize logistics for the Franchisee Training
- Coordinate across departments to support the franchisee onboarding process
- Prepare business insurance quotes and submit proposals on behalf of franchisees
- Communicate regularly with franchisees to address questions, concerns, and provide support
- Assist with franchisee recruitment as needed
- Send franchise applications to interested candidates
- Manage FDD (Franchise Disclosure Document) distribution and acknowledgment follow-ups
- Help identify and coordinate suitable unit locations in collaboration with the Operations Team
- Maintain accurate data entry and updates in SAP and other databases
- Process business/legal name changes in SAP
- Support programs such as inventory installments, cash advance requests, direct deposit setup, and fee notifications
- File and maintain proper documentation for franchisee records
- Perform general administrative duties and additional Operations tasks as assigned
Corporate Franchise Recruiting Support
- Provide administrative support to the Corporate Franchise Recruiter as needed
- Assist with organizing and maintaining prospective franchisee information and recruiting records
- Schedule calls, meetings, and interviews with prospective franchisees and internal team members
- Help maintain accurate recruiting pipeline information
- Assist with tracking recruiting leads and outstanding follow-up items
- Coordinate with the Recruiting and Operations teams to ensure prospective franchisees are properly transitioned into the onboarding process
- Minimum of 1 year of experience in an administrative, office support, customer service, recruiting, or similar role
- Strong verbal and written communication skills
- Excellent organizational and time-management skills
- Strong attention to detail and follow-up skills
- Ability to work independently and manage shifting priorities
- Comfortable communicating with franchisees, prospective franchisees, and internal team members
- Comfortable working in a multicultural environment
- Strong proficiency in Microsoft Excel, including creating and maintaining spreadsheets, organizing and analyzing data, using formulas and functions, filtering/sorting data, and creating reports
