Owns installation services for Equipto and DOC Services customers, from estimate and quote through installation, commissioning, and customer sign-off. Leads the installation coordinator team and partners with the DOC Services Managers of Project Services to staff self-performing DOC Services crews and third-party contractors for field installations and Factory Acceptance Testing. Accountable for estimating accuracy, schedule, site readiness, crew cost, written reporting, and customer communication across national programs such as Amazon and regional and one-off projects.
• Own Installation Delivery Across All Programs: Serve as the single point of accountability for installation work at Equipto and DOC Services customer sites, from national programs to one-off projects. Build and maintain the master installation schedule, sequence sites by region and readiness, and drive every job to on-time completion and sign-off.
• Survey, Estimate, and Quote Installation Work: Own the quote cycle for equipment replacement and installation projects, such as incline conveyor replacements for national retail accounts. Run site surveys and build estimates from survey findings, drawings, and site conditions, covering demolition, installation, disposal, crew size, duration, travel, equipment rental, and subcontractor costs. Deliver margin-protected quotes to Sales and reconcile completed jobs against the estimate.
• Run Multi-Site Product Installation Programs: Own programs where Equipto-manufactured product is surveyed, built, shipped, and installed across many customer sites, such as mezzanine safety gate programs for national retail accounts. Maintain the site kit and component matrix, drive the production and order workbook with Equipto production, coordinate per-site quoting and billing with the contracting entity, manage re-surveys where site data is incomplete, and reconcile billing by site.
• Lead the Installation Coordinator Team: Directly manage the installation coordinators, assigning sites and programs, balancing workload, and setting expectations for scheduling, contractor quote requests, awards, and POs, install paperwork, documentation, and customer communication. Coach on accuracy, follow-through, safety, and professionalism.
• Manage the Installer Network and Install Packets: Work with DOC Services Managers of Project Services and approved third-party contractors to select the right crew for every job, shifting work to self-performing DOC Services crews where it lowers cost without schedule risk. Through the installation coordinators, qualify, quote, award, and issue POs to subcontracted crews, confirm crew lists, credentials, and capacity, and deliver complete install packets (site contact, start time, drawings, calc packages, permits, customer documentation) early enough for crews to plan. Control scope changes through the PO change request process.
• Confirm Readiness and Align Production: Before any crew is dispatched, confirm with production and logistics that material is built, shipped, and on site, and with the customer that the site and on-site contact are ready. Manage partial shipments and shortages, feed install dates into production ship dates, and review shortages and high-frequency parts stocking with production weekly.
• Drive Commissioning, Testing, and Closeout: Ensure every install is commissioned and documented to Equipto and customer standards, including commissioning documents, punch lists, photos, and customer sign-off. Plan and staff FAT and pre-FAT activities and carry findings into field installation practices. Ship-confirm installation lines and close orders in the ERP by month-end, and coordinate warranty and return-trip work on completed installations.
• Manage Schedule Risk and Reporting: Identify at-risk jobs early, issue formal date change notices, and lead mitigation through crew redirection, resequencing, and partial installs. Publish the authoritative written status for active work, clear enough for Equipto, Ballymore, and DOC Services leadership to act on without rework.
• Control Costs, Invoicing, and Change Orders: Track labor, travel, equipment rental, and subcontractor cost against each estimate, verify installer invoices against PO scope and completed work, and track installer payment status, escalating issues before they put installer retention or open sites at risk. Document customer-caused delays, demobilizations, remobilizations, and wasted trips, and submit change orders the same week. Support forecasting and margin tracking.
• Enforce Safety, Credentialing, and Compliance: Confirm all onsite personnel, in-house and subcontracted, meet customer safety, certification, and credentialing requirements before starting work. Enforce customer documentation lead times (JHAs, crew rosters, onboarding forms, daily reports) and coordinate contractor compliance registrations such as Avetta, state contractor licensing, and permits.
• Serve as Customer and Site Contact: Act as Equipto’s primary installation contact for customer site leadership, sales, installation partners, and DOC Services. Run recurring project calls, manage escalations, and represent installation in project reviews.
• Standardize and Improve the Process: Document and refine the workflow from estimate to sign-off (estimating standards, site packets, readiness checklists, reporting, closeout) so the function scales to new customers and project types.
• Other duties as assigned.
