The Opportunity

We are looking for an exceptionally organized, detail oriented professional who wants the opportunity to learn how a sophisticated real estate business operates from the inside.

This is a broad based role supporting our Vice President of Finance and Administration and our Office Management function, with responsibilities divided approximately equally between loan administration and office management support. The role provides hands on exposure to loans, closings, lender requirements, recurring reporting and document management, while also helping ensure that the day to day operations of our corporate office run smoothly.

Prior real estate experience is not required. Experience in a bank, financial institution or other back office environment supporting loans, documentation or similarly detailed financial processes would be particularly relevant. We are looking for someone who is comfortable with numbers and Excel, highly accurate, and interested in learning the real estate and loan administration aspects of the role.

Just as important, this role requires someone who thinks beyond the task in front of them. The right person notices what is missing, considers what needs to happen next, follows up without waiting to be reminded and takes ownership of moving work through completion. This is a role for someone who can keep multiple responsibilities moving at once, balance competing priorities and deadlines, and remain highly accurate while doing so.

· Track monthly, quarterly and annual property reporting due to lenders; coordinate with internal teams on upcoming and past due requirements, review materials for completeness and serve as an initial point of contact for lender questions and requests.

· Participate in loan closing calls, maintain action item lists and follow up with internal and external parties to keep matters moving.

· Organize, label, save and maintain closing and final loan documents using consistent document management practices.

· Track real estate tax appeal activity, coordinate annual authorizations, process related invoices and maintain current status information.

· Coordinate signatures, document delivery and other time sensitive closing or loan administration needs.

Office Management & Administrative Support

· Support the Office Management function with recurring administrative and operational needs of the corporate office.

· Assist in managing office supplies stored in multiple locations throughout the office by regularly checking inventory and proactively ordering and restocking items before supplies run out.

· Manage office related invoices, including organizing and preparing invoices for payment and applying appropriate coding.

· Scan, organize, retain and retrieve documents and maintain orderly electronic and physical records.

· Support one time projects and special assignments for Office Management.

· Manage the corporate voicemail system, including checking messages, researching or identifying caller needs when necessary and routing messages to the appropriate person.
